Audimind Privacy Policy

Last Updated: September 7, 2026

Effective Date: September 7, 2026

1. Introduction

This Privacy Policy explains how Shenzhen Audimind Technology Co., Ltd. ("Audimind," "we," "us," or "our") collects, uses, discloses, retains, and protects personal data when you use www.audimind.ai, our web applications, APIs, software, and related services (collectively, the "Services").

For the purposes of the EU General Data Protection Regulation and UK GDPR, Shenzhen Audimind Technology Co., Ltd. is the controller of personal data described in this Policy, except where another party acts as an independent controller. A third-party payment processor or merchant of record identified at or before checkout may act as an independent controller of buyer and payment information under its own buyer and privacy terms.

Contact our privacy team at privacy@audimind.ai.

2. Scope and Roles

This Policy applies to Audimind account holders, website visitors, Workspace members, people who contact us, and individuals whose audio recordings or other personal data is lawfully submitted to the Services.

If a company or Workspace customer determines why and how personal data is included in its Projects, that customer may be a controller and Audimind may act as its processor for that data. The customer is responsible for providing required notices, identifying a lawful basis, handling requests, and obtaining any consent needed from its members, performers, narrators, employees, contractors, or other individuals.

3. Personal Data We Collect

3.1 Account and Identity Data

We may collect your name, username, email address, telephone number, password hash, profile image, language, region, account identifiers, organization, plan, and account-security settings.

If you sign in with Google or another supported provider, we receive only the account data you authorize that provider to share, such as your name, email address, profile image, and provider identifier. We use it to authenticate you, create or link your Audimind account, prevent duplicate accounts, and provide account support.

3.2 Profile and Professional Data

Where you choose to provide it, we may process professional role, skills, age range, region, audio-production preferences, or other profile information used for collaboration and role matching.

3.3 User Content and Project Data

We process manuscripts, scripts, text, prompts, images, recordings, audio files, sound effects, Project settings, character profiles, edit history, timecodes, post-production parameters, generated Output, and other content you upload, create, or store.

3.4 Audio and AI Voice Design Data

When you use recording, AI-assisted narration, AI Voice Design, Smart Alignment, Smart Review, or related production features, we may process:

  • source recordings and uploaded audio files;
  • acoustic and vocal characteristics needed to edit, align, review, or generate requested audio;
  • transcripts, prompts, language, pronunciation information, and user-selected voice-design characteristics;
  • technical quality, provenance, and anti-abuse signals; and
  • generated audio and original synthetic AI Voice Design assets.

Depending on applicable law and the feature used, an uploaded recording or related acoustic information may be personal data or sensitive personal data. Audimind does not use uploaded audio for identity authentication unless we separately describe that use and obtain any authorization required by law.

The current version of Audimind does not provide features intended to clone, reproduce, replicate, or create a model of the identifiable voice of a real person. AI Voice Design processes descriptive, non-identifying characteristics to generate a production-oriented AI voice style. It is designed for fictional, creative, and production-oriented voice creation workflows and is not intended for personal identity replication, voice authentication, or representation of a real individual. If you upload a recording involving another person for recording, editing, alignment, review, or other production purposes, you must have all notices, permissions, and lawful authority required for that processing and intended use.

3.5 Workspace and Collaboration Data

We process Workspace names, member lists, invitations, roles, permissions, tasks, comments, activity history, Projects, usage allocation, and audit records. Content and activity in a collaborative Workspace may be visible to the owner, administrators, and authorized members according to Workspace permissions.

3.6 Payment and Transaction Data

Where a third-party payment processor or merchant of record identified at or before checkout (the "Payment Provider") processes an applicable transaction, the Payment Provider processes payment method, billing identity, address, tax, invoice, refund, subscription, and dispute information under its own notices and according to its role in the transaction.

Audimind may receive transaction and subscription identifiers, customer identifiers, status, purchased items, amount and currency, billing dates, country, limited buyer or business information, refund or dispute status, and other information needed to provide entitlements, prevent duplicate subscriptions, reconcile accounts, investigate abuse, and support users. Audimind does not need to receive or store your full payment-card number or card security code.

3.7 Communications

We process support requests, feedback, complaints, rights notices, survey responses, and correspondence with you.

3.8 Device, Usage, and Log Data

We may automatically collect IP address, device and browser type, operating system, language, access time, referring page, feature use, search and click activity, task status, crash and diagnostic logs, security events, rate-limit events, and cookie or local-storage identifiers.

3.9 Data from Third Parties

We may receive data from authentication providers, Payment Providers, fraud-prevention providers, service providers, Workspace customers, collaborators, rights holders, and public authorities where lawful.

4. Why We Use Personal Data and Our Legal Bases

Where consent is required, you may withdraw it. Withdrawal does not affect processing already lawfully performed. Withdrawal of consent relating to an uploaded recording may require us to delete or restrict the affected recording, AI Voice Design asset, or Project and may prevent continued use of the affected feature.

5. AI Processing, Training, and Automated Review

5.1. We process your text, prompts, audio, and other inputs to provide the feature you request. The provider or model may vary by language, feature, quality, region, capacity, price, and availability.

5.2. We do not use User Content, uploaded audio data, or Generated Output to train or fine-tune a general-purpose or shared AI model without your express authorization. We do not authorize service providers to use that content for their independent model training unless separately disclosed and lawfully authorized.

5.3. We may use automated systems to detect malware, prohibited content, voice impersonation, unauthorized identity representation, fraud, abuse, or technical failure. We may combine automated signals with human review. We do not make a decision producing legal or similarly significant effects solely through automated processing without an applicable legal basis and required safeguards.

5.4. If you believe an automated restriction was incorrect, contact service@audimind.ai for review.

6. Audio Processing and AI Voice Design Notice

6.1 Purpose and Permitted Use

Uploaded recordings and related audio information are processed to provide recording, editing, AI-assisted narration, Smart Alignment, Smart Review, audio analysis, storage, and other production functions requested by the user. AI Voice Design processes descriptive, non-identifying characteristics to create production-oriented AI-generated voice styles. The current version of Audimind does not use a real person's recording to create a replica or model of that person's identifiable voice.

We do not sell, lease, trade, or independently license uploaded recordings or related audio data. Uploaded recordings and AI Voice Design assets are private to the account or authorized Workspace by default. Audimind will not place an uploaded recording or AI Voice Design asset in a public library without a separate affirmative sharing action or authorization valid under applicable law.

6.2 Rights and Compliance Records

Where a user submits a recording involving another person, we may retain a rights attestation, permission record, complaint record, verification result, asset identifier, and audit trail reasonably needed to document the requested processing, investigate misuse, or comply with law. We may request updated evidence or restrict an audio asset where authority or intended use is unclear.

6.3 Recorded-Person and Identity Requests

A person may ask us to investigate, restrict, or delete an unauthorized recording, AI Voice Design asset, or Generated Output that misrepresents the person's identity by contacting copyright@audimind.ai or privacy@audimind.ai. We may request information reasonably necessary to verify identity, locate the relevant material, and prevent fraudulent requests.

6.4 Deletion and Retention

You may delete an eligible uploaded recording or AI Voice Design asset through available account tools or request deletion. We will disable the asset from new use and initiate deletion from active systems, subject to technical processing time, legal holds, security investigations, unresolved complaints, and any retention required by law. Residual encrypted backups are removed through our routine backup lifecycle and are not restored for ordinary use.

We retain uploaded audio and related production information only for as long as needed for the requested feature, the user's instructions, security and abuse prevention, legal obligations, or a rights dispute. We do not retain an uploaded recording or AI Voice Design asset indefinitely merely because an account once created or used it.

6.5 Future Licensed-Voice Features

Audimind may separately evaluate rights-managed licensed-voice programs or professional voice partnerships in the future. If such a feature is offered, Audimind will provide any additional notices, verification procedures, agreements, consent or rights-management controls, retention terms, and regional restrictions required for that feature. This Policy does not represent that a real-person voice reproduction or professional voice marketplace feature is currently available through the current version of Audimind.

7. How We Disclose Personal Data

We do not sell personal data. We disclose it only as described below.

7.1 Service Providers and Subprocessors

We use vendors for cloud hosting, storage, content delivery, email, authentication, analytics, customer support, security, fraud prevention, and AI processing. Depending on the feature and deployment, service providers may include AI model providers, cloud infrastructure providers, speech technology providers, and other service providers performing a similar role. A provider is used only where connected to the applicable production feature.

We send only data reasonably necessary for the requested processing and use contractual, organizational, and technical safeguards appropriate to the service. Provider locations and retention may vary by feature and are subject to our applicable agreements and settings.

7.2 Payment Providers and Merchants of Record

Where a Payment Provider processes a transaction, we disclose account, item, transaction, tax, and support information to that Payment Provider as needed for checkout, subscriptions, invoices, refunds, disputes, fraud prevention, and buyer support. The Payment Provider may also receive information directly from you and processes it under its own privacy terms. The identity and role of the applicable Payment Provider are disclosed at or before checkout or in the related order materials.

7.3 Workspaces

Workspace owners, administrators, and members may access data according to their permissions. An owner or administrator may be able to access, export, transfer, or delete Workspace content. Do not place personal or confidential data in a Workspace unless the intended recipients are authorized.

7.4 Legal, Safety, and Rights Protection

We may disclose information where required by law, legal process, or a lawful government request; to investigate fraud, voice impersonation, unauthorized identity representation, or security incidents; to protect users or the public; or to establish, exercise, or defend legal claims.

7.5 Corporate Transactions

Personal data may be transferred in connection with a merger, financing, acquisition, restructuring, or sale of assets, subject to this Policy and applicable law.

7.6 With Your Direction or Consent

We disclose personal data where you direct us to do so or give valid consent.

8. International Data Transfers

Audimind is headquartered in China, and providers may process data in China, the United States, Singapore, the EEA, or other countries. Those countries may have different privacy laws.

Where required for transfers from the EEA, UK, or Switzerland, we use an approved transfer mechanism, such as an adequacy decision, the European Commission's Standard Contractual Clauses, the UK Addendum or International Data Transfer Agreement, and supplementary safeguards where appropriate. Contact privacy@audimind.ai for information about applicable safeguards.

9. Cookies and Similar Technologies

We use cookies, local storage, and similar technologies for account sessions, security, preferences, consent management, checkout initiation, and - where enabled and lawfully permitted - analytics. Non-essential technologies are subject to required consent. See the Cookie Policy.

10. Data Retention

We retain personal data only for as long as reasonably necessary for the purpose collected, the user's instructions, contractual performance, security, fraud prevention, accounting, dispute resolution, or legal obligations. Retention criteria include:

  • Account data: while the account is active and for a limited period needed to close, secure, and document the account.
  • User Content and Projects: while stored by the user or Workspace, until deleted, or while needed to provide a requested service. Shared Workspace content may remain under the Workspace owner's control.
  • Uploaded audio and AI Voice Design assets: as described in Section 6.4.
  • Temporary production files and caches: only for the operational period needed to complete, retry, secure, or efficiently serve the task, after which they are deleted or overwritten according to system lifecycle rules.
  • Transaction, Credits ledger, refund, tax, and dispute records: for the periods required by accounting, tax, payment-network, anti-fraud, and legal obligations. Expiration of Credits does not require deletion of the related ledger record.
  • Security and abuse records: for as long as reasonably necessary to investigate events, prevent recurrence, enforce policy, and defend claims.
  • Support and legal correspondence: for as long as needed to resolve the matter and meet legal or audit requirements.
  • Backups: through routine encrypted backup cycles, after which deleted data is overwritten or rendered inaccessible.

We may retain de-identified or aggregated information that no longer identifies an individual.

11. Your Privacy Rights

Depending on your location, you may have rights to:

  • access personal data and receive a copy;
  • correct inaccurate data;
  • request deletion;
  • restrict or object to processing;
  • receive portable data;
  • withdraw consent;
  • object to direct marketing;
  • appeal certain privacy-request decisions; and
  • complain to a data protection authority.

Submit a request to privacy@audimind.ai or use available account tools. We may verify identity and authority before responding. We respond within the period required by applicable law.

11.1 EEA, UK, and Switzerland

You have the rights provided by applicable data-protection law, including the right to object to processing based on legitimate interests and the right to complain to your local supervisory authority.

11.2 California and Other US States

Subject to applicable exemptions, residents may have rights to know, access, correct, delete, and obtain a portable copy of personal information, and to opt out of sale, sharing for cross-context behavioral advertising, targeted advertising, or qualifying profiling.

Audimind does not sell personal information and does not share it for cross-context behavioral advertising as those terms are defined by California law. We use sensitive personal information, including uploaded recordings or related audio information where legally classified as sensitive, only for permitted service, security, safety, and compliance purposes unless we provide a separate notice.

You will not be discriminated against for exercising a privacy right. An authorized agent may submit a request where law permits.

12. Security

We use technical and organizational measures designed to protect personal data, including access controls, encryption in transit, encryption or equivalent protection for stored sensitive data where appropriate, environment separation, logging, supplier review, and incident response. No service can guarantee absolute security.

If a breach requires notice under applicable law, we will notify affected individuals and regulators as required.

13. Children's Privacy

The Services are not directed to children below the minimum permitted age, and we do not knowingly collect their personal data without required authorization. If you believe a child provided personal data or an audio recording without valid parental or guardian authorization, contact privacy@audimind.ai. We will investigate and delete or restrict the data where required.

14. Third-Party Links and Services

Third-party websites and services have their own privacy practices. This Policy does not govern a third party acting independently, including a Payment Provider's checkout pages or an authentication provider's account page.

15. Changes to This Policy

We may update this Policy to reflect changes in law, technology, providers, or the Services. We will post the new version and update the date above. Where required, we will provide advance notice or request renewed consent.

16. Contact

If you are in the EEA, UK, or Switzerland, you may also complain to the supervisory authority responsible for your place of residence or work.
